Looking for a better way to group and organize your Community? Are you spending a lot of time manually tagging people based on their form responses? 

Premium plan users are given access to advanced form fields and features. These features allow you to automatically sort volunteers as they enter your community, saving you time and keeping your data organized. 

How to Tag an Import

When you import a .CSV spreadsheet, you're given the option to choose a tag to associate with that group of people. While you can import your entire community in one spreadsheet, you might find it more helpful to break up your list into separate spreadsheets for each group, which can then get separate tags.

When you are importing a new list of contacts into Timecounts, there is an option to add a tag to everyone in that list. This is helpful if you wish to associate a tag and segment your imported contacts, especially if you have different lists of contacts maybe from previous years or events. Don't lose that information or waste time manually tagging later - simply add a tag during the import process. The tag will appear in a person's profile card and also allow you to filter the Directory using tags. 

You can also only import a tag, for people already in your community. Simply create a spreadsheet with the emails of those people you would like to tag (for example, people who were invited to last year's gala). If you have some people in the sheet who are not yet in your database, you will want to add additional columns for important information like email, phone, and address. If everyone in the sheet is already in your community, you only need the Email column. When you import your new sheet, select the tags you would like to associate with that group (for example, 'Invited to Gala 2018'). Because those emails are already in your community, nothing will change, except those individuals will receive their new tag. 

Repeat with new tags and new lists of emails as often as needed!

Tag as you Accept Form Responses

One of the most powerful aspects of Timecounts is the ability to group and organize contacts according to your needs. Our flexible tagging system gives you the tools to message, invite, schedule, and track groups of people by whatever metrics you are interested in.

You can add tags throughout Timecounts, including in the 'Stored' tab of form responses and applications, so you can sort people as you add them to your community database. Adding tags to form responses as you review them.

Automatically Tag Signups with Checkbox and Multiple Choice Fields

This feature is available on Premium and Growth plans.

There are some questions on signup forms that you will find yourself frequently referencing as an organizer. While you can manually tag individuals in the 'Stored' section of form responses or applications, you can save yourself the hassle by linking tags directly with form answers. Multiple tags can be linked to each answer. When you link tags to your checkbox or multiple choice answers, your volunteers will not see the tags as they fill out the form. They will submit their form as usual, and once you've accepted their form submissions, they will be added to your community with the appropriate tags already attached to their profiles. You can use this feature to keep track of volunteer preferences, interests, qualities, and needs. 

To link tags to checkboxes or multiple choice fields, type the tag name where it says 'Type here to link a tag'. If you need to create a new tag, return to the Community view and click the green 'Tags' tab. There's an option in the tab to create a new tag. Once all of your tags are in the system, return to your form to link them to answers.

Link tags to checkbox answers, making it easier to keep your community sorted, and never lose track of volunteer preferences. Need inspiration? Organizations commonly link tags to checkboxes to ask for volunteer interests, like in the example below. 

Multiple Choice

The Multiple Choice field requires your volunteers to select only one option. Like the Checkboxes field, Premium plan subscribers can link tags to multiple choice options. You can use this feature to tag volunteers for their email preferences (so you can quickly review and sync your newsletter lists).
