You can duplicate an event or gathering by clicking the arrow on the far right side of the activity in the list view and selecting Duplicate. If you are trying to duplicate from a Past Event you can sort for that view at the top of the page.
You will be asked to name the new activity (it can keep the same name as the original event or gathering, if desired). Then you need to set the new dates for the activity, and decide what information you would like to copy.
For Gatherings, you can choose to copy just the details of the gathering (description, image, and settings), or the details and attendance. This will copy over all confirmed volunteers to the new gathering.
For Events, you can choose to copy just the details of the event, the details and shift schedule, or the details, shift schedule, and attendance (confirmed volunteers).
When you copy the schedule, the shifts will start on the first day of your new event (regardless of day of the week), and follow the same distribution pattern.
For example, if the event you're copying started on a Friday with a shift at 7pm, and you set the new event to start on a Thursday, the first shift will be on the Thursday at 7pm.
Note: Repeating shifts will not duplicate, only individual shifts will be copied over. Due to the complexities with custom shifts and dates it would not be accurate in the new schedule if a start date or end date is changed.
Extending an Assignment Schedule
How to create schedules longer than a week, month, or quarter.
Assignment schedules are also ongoing.
When you create a schedule, you'll be asked to choose a start date and a publishing structure. Choose to publish by week, month, or three month increments.
To create an ongoing schedule, you'll need to create and setup the first week, month, or three month section of your schedule.
Once you've added all of your repeating shifts, and set them all to repeat far into the future, you can extend your schedule.
When you’re ready to create your next schedule section, navigate to the end of your schedule and click ‘Extend Schedule’.
Extending the schedule will add a new week, month, or three month section. You can copy all active repeating shifts forward into the next section.
It's not possible to create repeating shifts that span schedule sections after you've extended the schedule.
Be sure to set-up your repeating shifts first.
At this time, Timecounts doesn’t support copying volunteer participation into new schedule sections. So if you have regular volunteers, you will need to assign them to their repeating shift patterns for each schedule section that you create.
Once the schedule has been extended and your shifts are copied over, you can then publish the new schedule section for volunteer signup.
When you publish each schedule section, you will be asked if you want to notify your assignment volunteers. The notification email contains a button for your assignment volunteers to login or create a Timecounts account in order to sign up for shifts.
